D-basics can execute tasks such as importing administrative data, making and sending export files and making and sending e-mail notifications without user intervention. In this appendix the use of this functionality will be explained.

 

I. Installation screen 'Import Scheduler'

 

Menu options: 'System', 'Import scheduler'

Automatic importing, exporting and sending is configured at the screen 'Import Scheduler', which can be opened through the above mentioned menu options.

After that complete the following steps:

Step 1: Select Export Module

In d-basics it is possible that several export modules are activated. Select in this case - through the drop down menu - the export module which automatically has to be called upon by the Import Scheduler.

 

Note:

Every task can only configure one export module. When the automatic import and export of more than one export module has to be configured, for every export module a separate task has to be made.
The selection of the export module determines which type of export file will be made and send, please take notice that the correct export module is chosen.

 

Step 2: Selection of administration(s)

The Import Scheduler offers at point 2 de possibility to configure for which administrations the export files have to be made. Only the selected administrations will be processed. Place for the selection of an administration a stroke in the square at the start of the line.

 

Step 3: Configuration of e-mail notification

E-mail notification offers the possibility to automatically receive a copy by e-mail of the log file which is made after performing a task . In this log file a check can be made of the successful completion of the task. (See also Events Log file).
 
To receive e-mail notification the e-mail account and e-mail address have to be configured:
 

E-mailaccounts

Before d-basics can send e-mail notifications the e-mail account has to be set up. The necessary steps for this are explained in the chapter 'E-mail'
 

E-mailaddress

After configuring the e-mail account the possibility is activated to fill in the e-mail address of those who need to receive notifications. Fill in the 'E-mail address' of the chosen receiver and press after this the button 'Add'.

 

Step 4: Configure log-options

The tasks of d-basics can be monitored in a log. Because monitoring by log results in a slower processing time of d-basics, at point 4 the possibility is offered to manually set the log options. Place for this a stroke at the option 'Configure Log-options manually' and change the standard log options to your liking.

 

Step 5: Opening Windows Task Manager screen

Press after taking step 1 to 4 the button 'Schedule as task (direct)', with this the Windows screen were tasks can be scheduled will be opened (Windows Task Manager). Configuring the Windows Task Manager is described below.

 

II. Configuring Windows Task Manager

The Windows Task Manager is a standard part of Windows. With the Task Manager tasks can be started automatically on a preset time and with a regular interval. To automate the import and export in d-basic with the help of the Task Manager a task has to be set, for this the following steps have to be taken:

 

Step 1: Fill in name

After pressing the button 'Scheduling as task (direct)' the screen is opened where is asked to fill in a name for the new task. Modify the suggested name by d-basics only if this is already in use.

 

Step 2: Configuring task

After filling in the name the screen is opened where the task can be configured. This screen consists of three tabs:

 

Tab 1: Tasks

On the first tab two settings are configured, the instruction of the task and the userdata that has to be used.

Instruction

The instruction contains the settings that are needed to have d-basics automatically perform tasks. When scheduling a task these settings are automatically filled in by the Import Scheduler. It is strongly dissuaded to modify these settings.

 

User data

At the setting 'Perform as' configure for which Windows user the task has to be performed. Standard the Import Scheduler will fill in the name of the user that is logged in at the moment the task is configured, this can be modified if chosen. The task can only be filled in if next to the correct user name also the correct password is filled in. Click for this the button 'Configure password' and fill in the password.

By the second tab configure with which interval and on what moment a task has to be started.

Choose with the help of the drop down menu 'Planning Task' the interval with which a task has to be performed, set after this the starting time and possible other settings.

The third tab offers some advanced settings.

In general these advanced settings are not applicable to the use of Windows Task Manager in combination with d-basics. It is therefore advised not to modify these settings (or leave this to the system administrator).

 

III. Consulting log file

The working of d-basics during automatic import and export is registered in log files. These log files are saved in the directory where d-basics is installed with the name 'd-basics_Scheduler_XXX.log' (XXX is a variable).

 

Some changes in the bookkeeping demand an action of the user in d-basics. Because automatic importing and exporting occurs without interference of a user, the risk exists that by changed data in the bookkeeping an import or export operation will fail. This is registered in the log file. Therefore check this file regularly.

 

If a problem occurs, in general this can be remedied by manually importing and exporting and then modify where needed the settings in accordance with the settings of the changed situation (for example coupling a country code to an ISO country code).

 

It is possible to automatically receive a copy of the log file by e-mail after the completion of a task: see 'Configuring e-mail notification'.
